Same Words in Every Room: Why Your Team Needs One Close

Picture three visits in the same clinic on the same afternoon.

In room one, the owner finishes with, "Let's get you back in on Thursday. That's when we check how the hip is holding."

In room two, an associate says, "Let's see how you feel this week."

At the front desk, the patient from room two hears, "Did you want to book something, or call us?"

Same clinic. Same quality of care. Two very different chances that person comes back.

After 33 years in practice, 25 of them owning Tutt Street Family Chiropractic in Kelowna, I've come to believe this is one of the quietest leaks in a good clinic. It isn't the care. It's that every room closes the visit in its own words.

Why the close drifts

Nobody sets out to be inconsistent. It happens for ordinary reasons:

  • The owner closes by instinct. You've done it thousands of times, so you've never written it down. New team members can't copy what they can't see.
  • Associates soften it. Newer clinicians often worry that a clear next step sounds like pressure, so they leave it open.
  • The desk is guessing. If the treatment room didn't name a date, the front desk is left asking an open question at the busiest moment of the day.
  • Nobody owns the follow-through. When the plan lives in one person's head, it leaves when that person goes home.

None of this is a character problem. It's a process problem, and process problems can be fixed.

What "one close" looks like

A shared close isn't a script people recite. It's three things every person on the team covers, in plain words, before the patient stands up:

  1. Decide. One job for the next visit and one reason to return. Not a twelve-week speech. One clear next step.
  2. Date. A specific day on the card before they leave the room, not "call us when you're ready."
  3. Same language. The doctor, the associate and the desk use the same words for that next step, so the patient hears one plan, not three opinions.

When those three are in place, it doesn't matter which room someone was in. They leave on a plan, not a hope.

How to build it with your team

You don't need a retreat to start. Try this over the next two weeks:

  • Write down how you close. Owners, record yourself for one afternoon, or ask your desk what they hear you say. Put the words on one page.
  • Pick the shared words. As a team, agree on how you name the next visit and its reason. Keep it short enough to say in one breath.
  • Hand off out loud. The clinician says the next step in front of the patient as they walk them to the desk: "Thursday, to check how the hip is holding." Now the desk is confirming, not guessing.
  • Check one number weekly. Of the people seen this week, how many left with a next date on the card? Look at it by room, not to blame anyone, but to see where the close is drifting.

These are clinic steps, not technique. They work the same for chiropractors, physiotherapists, RMTs, osteopaths and anyone else who treats.

A note on pressure

Some clinicians worry this sounds pushy. In my experience it's the opposite. A clear next step with a clear reason is a kindness. It takes a decision off a busy person's plate. What feels like pressure is a vague plan followed by a reminder call three weeks later.

Join me Tuesday morning

On Tuesday, October 27, at 9:00 AM PT / 12:00 PM ET, I'm hosting The October Protocol, a 45-minute live webinar for doctors and therapists who treat. We'll cover why good clinics still leak, how to convert the visit before the patient stands, how to make the plan keepable, and how to get the same close in every room. You'll leave with three steps your team can run on Monday.

Can't make it live? Register anyway and I'll send you the replay.
